Welcome to EasyBill Flow ("Service", "Platform", "we", "us", or "our"). These Terms of Use ("Terms") govern your access to and use of our platform, including any content, functionality, and services offered. By registering for an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
You must be at least 18 years of age or the legal age of majority in your jurisdiction to use this Service. By creating an account, you represent that the information you provide is accurate, complete, and current. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
We reserve the right to suspend or terminate accounts that violate these Terms, contain fraudulent information, or are used for unauthorized purposes.
EasyBill Flow is a software-as-a-service (SaaS) platform that provides business management tools including, but not limited to, workspace management, billing processing, AI-assisted document data extraction, file storage and sharing, credit-based usage, and related features. The Service operates on a credit-based billing system where credits are purchased in advance and consumed as you use the platform's features.
The Service uses artificial intelligence to extract and organize data from documents you upload (for example: vendor names, amounts, dates, and line items). By using these features, you acknowledge and agree that:
Ownership. You retain all rights to the documents and files you upload to the Service ("User Content"). By uploading User Content, you grant us a limited, non-exclusive license to host, store, process (including AI-based processing), and display it solely as necessary to provide the Service to you and your workspace members.
Responsibility. You are solely responsible for your User Content and represent that you have the necessary rights to upload it and that it does not violate any law or third-party rights.
Storage limits. Storage quotas may apply to your account or workspace depending on your plan. We will notify you as you approach your quota; when a quota is exceeded, we may restrict further uploads until space is freed or additional storage is obtained.
Sharing. Content uploaded to a workspace is accessible to other members of that workspace according to their roles. If you create a public share link, anyone with the link can view and download the shared content — you are responsible for the links you create and for disabling links you no longer wish to be accessible.
To use paid features of the Service, you must provide a valid payment method. We use Stripe as our third-party payment processor. When you save a payment method, your card details are tokenized and stored securely by Stripe — we never store your full card number, CVV, or other sensitive card data on our servers. We store only a reference token, your card's brand, last four digits, and expiration date for display purposes.
By saving a payment method to your account, you expressly authorize EasyBill Flow to initiate charges to your saved payment method for the following purposes:
These charges may be initiated without requiring you to be actively logged in to the platform ("off-session" charges). Your bank may require additional verification (such as 3D Secure authentication) for certain transactions. In such cases, we will notify you via email with a secure link to complete the verification.
Credit pricing is displayed on the platform at the time of purchase. We reserve the right to modify pricing with reasonable notice. Credits purchased are non-transferable between accounts unless otherwise specified. Unused credits remain available in your account until they are consumed or your account is terminated.
To protect against fraud and unintended charges, we enforce daily charge limits per payment method. If a limit is reached, you will be notified and may add an alternative payment method to continue.
If a payment fails (due to insufficient funds, card expiry, bank decline, or other reasons), we may retry the payment or notify you to update your payment method. Continued failure to maintain a valid payment method may result in service interruption.
Subscription plans renew automatically at the end of each billing period, and your default payment method will be charged for the renewal. We will send you a reminder email before each renewal charge. You may disable auto-renewal or cancel your subscription at any time from your billing settings or by contacting support; your subscription will then remain active until the end of the current billing period and will not renew. Fees already paid for the current period are non-refundable except as described in our Refund Policy.
Refund requests are handled on a case-by-case basis. If you believe you have been charged in error or wish to request a refund, please contact our support team within 14 days of the charge. We reserve the right to approve or deny refund requests at our discretion based on the circumstances. Refunds, when approved, will be issued to the original payment method.
Credits that have already been consumed are generally not eligible for refund.
You agree to use the Service only for lawful purposes and in compliance with all applicable laws and regulations. You shall not:
The Service allows you to connect optional third-party services, such as accounting platforms (e.g., Xero, Bukku). By connecting an integration, you authorize us to transmit the relevant data (such as bill details) to that service on your behalf and to store the authorization tokens required to maintain the connection. Your use of any third-party service is governed by that service's own terms and policies, and we are not responsible for the availability, accuracy, or conduct of third-party services. You may disconnect an integration at any time from your workspace settings.
The Service, including its design, logos, text, graphics, software, and other content, is the property of EasyBill Flow or its licensors and is protected by intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the Service for its intended purpose. You may not copy, modify, distribute, sell, or lease any part of the Service without our prior written consent.
Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. By using the Service, you consent to the practices described in the Privacy Policy.
We strive to maintain high availability of the Service but do not guarantee uninterrupted access. We may modify, suspend, or discontinue any part of the Service at any time, with or without notice. We are not liable for any loss or inconvenience caused by such changes.
To the maximum extent permitted by applicable law, EasyBill Flow and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, goodwill, or other intangible losses, resulting from:
Our total aggregate liability for all claims relating to the Service shall not exceed the amount you paid us in the 12 months preceding the claim.
You agree to indemnify, defend, and hold harmless EasyBill Flow and its affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with your access to or use of the Service, your violation of these Terms, or your infringement of any third-party rights.
You may terminate your account at any time by contacting support or using the account settings (when available). We may suspend or terminate your access to the Service immediately, without prior notice, for conduct that we believe violates these Terms or is harmful to other users or us.
Upon termination, your right to use the Service ceases immediately. Any remaining credit balance may be forfeited unless otherwise required by applicable law.
Any disputes arising out of or relating to these Terms or the Service shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to binding arbitration or the courts of competent jurisdiction in the jurisdiction where EasyBill Flow is incorporated.
These Terms shall be governed by and construed in accordance with the laws of Malaysia, without regard to its conflict of law provisions.
We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by email or through the Service at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes your acceptance of the revised Terms.
